The Office of Student Services is located in suites 140 and 141 on the
first floor of the College of Nursing. Staff members in the Office of Student
Services provide professional, technical, and secretarial support for the
planning, implementation, coordination, and revision of academic and student
programs, services, policies, and procedures. The following is a
brief description of the services provided by this office.
A. Program Support
Student Services staff support the academic programs through implementing
College and University policies and procedures associated with admission,
progression, readmission, and graduation. Major support functions of
Student Services relate to undergraduate and Master's, Post-Master’s, and
Nursing Doctorate Programs and include student recruitment, student orientation,
student advisement, student record management, student data base development
and maintenance, preparation of surveys and reports, schedule planning,
masters and ND comprehensive examination administration, undergraduate,
master's, post-master's, and ND student admissions processing, maintenance
of contracts with clinical agencies, and securing grants and other funds
to support students.
1. Grade Reports All students listed on the
Grade Report form are to receive an assigned grade. Grade reports are due
in the Office of Student Services no later than 72 hours after the date
of the scheduled final examination. Grade reports are forwarded from Student
Services to the Registrar's Office within 24 hours of receipt.
2. Grade Changes Undergraduate grade changes
on transcription or computation errors shall be reported directly to the
Office of the University Registrar on the appropriate grade change form
obtained in the Office of Student Services, signed by the instructor and
the head of his or her academic unit, and then processed by Student Services.
Graduate grade changes based on transcription or computation errors are
submitted to the Graduate Dean within 12 months of the original grade assignment
on the appropriate form (obtained and processed by Student Services). Any
request for a grade change must be submitted by the instructor no later
than one calendar year from the date on which the grade was reported.
Beyond this period, undergraduate grade changes will be considered only
in exceptional circumstances and must be handled through the petition procedure
of the student's college. Requests for a graduate grade change submitted
more than a year after the assignment of a grade must be accompanied by
a justification. These requests may be referred, at the Graduate
Dean's discretion, to the Petitions and Appeals Committee of the Graduate
Council for examination and recommendation to the full Graduate Council
for its deposition. Any other undergraduate or graduate grade change
request resulting from enrollment discrepancies, medical withdrawals, or
perceived administrative errors (changes to W, WF, AUDIT, CREDIT, S/U,
or to I) has to be submitted on the appropriate forms with signatures and
documentation to the dean of the student's college or graduate school for
review through the petition procedure. This does not apply to the
routine makeup and extension of an I (incomplete) and posting of a permanent
grade to replace the NR mark.

Assignment of an "I" is permitted, when in the judgment of the faculty
member, a student is unable to complete some portion of the assigned work
due to extenuating circumstances. An Assignment of Incomplete Grade form
obtained in Student Services must be completed by the faculty member and
submitted with the Grade Report. If contingencies described on the Assignment
of Incomplete Grade form have not been fulfilled within 12 months, the
"I" is permanently changed to a grade of F.
"NR" is assigned by the Office of the Registrar only if the grade is
not available at the proper time. It is a temporary grade on the transcript
and must be replaced by a standard letter grade. If replacement does not
occur before the last week of the semester subsequent to the one in which
it was recorded, the grade of "F" will be assigned.
3. Enrollment Management Enrollment
management begins with inquiry of prospective students and ends with enrollment
of graduates into the Alumni Association. Information from students' applications,
e.g. major and emphasis area, part-time or full-time status, is aggregated
to project a plan for completion of the academic program. Program of study
data are used to plan program offerings and course enrollments in order
to maximize faculty/student ratios and to capitalize on physical plant,
electronic, and clinical assets of the College. The Enrollment Management
System provides a means for coordinating non-academic requirements with
the academic program demands so that students' progression through their
courses can proceed in an orderly manner.
4. Student Data Management
Student data to support recruitment efforts, course scheduling, advisement,
verification of compliance with academic and non-academic student standards,
and requirements for grant and survey purposes is entered and maintained
in the Office of Student Services. Requests for student data and data-based
reports are directed to the Assistant Dean for Student Services, who works
with faculty and staff to generate project relevant reports.
5. Survey/Reports All surveys related to
the academic and student service programs of the College are directed to
the attention of the Assistant Dean for Student Services who coordinates
survey completion. Reports of College activities related to approval by
the State Board of Labor, Licensure and Regulation Board of Nursing, the
Commission on Higher Education, and the Southern Association of Schools
and Colleges are coordinated by the Assistant Dean for Student Services,
who also plays an active part in preparation for national accreditation.
B. Advisement
Professional staff in the Office of Student Services serve as academic
advisors for undergraduate students. The Assistant Dean for Student
Services advises undergraduate students in the combined BSN/MSN plan. In
this capacity advisors provide preregistration enrollment advice, serve
as counselors to probationary and conditionally admitted students, monitor
progress of undergraduates through the academic program, and complete documentation
for graduation and registered nurse licensure eligibility. Faculty are
assigned as mentors to upper division undergraduate students.
The Assistant Dean for Student Services serves as academic advisor for
the master's, certificate of graduate study, and ND students and
monitors their progress throughout the students' programs. Staff
assist in completing documentation for graduation and certification eligibility.
Faculty are assigned to mentor students regarding professional and career
issues.

C. Student Recruitment
The Office of Student Services assists in implementing the College
of Nursing Recruitment and Retention Plan by working collaboratively with
faculty, administrators, principal investigators on training grants, and
various units on campus. Student Services initiates and coordinates student
recruitment and retention activities for the educational programs of the
College. Student Services staff are involved in developing and maintaining
recruitment literature and producing written materials on the degree programs
of the College.
A major effort of the Office of Student Services is directed toward
effective response to, and follow up on student inquiries about the programs
of the College of Nursing. An inquiry database is maintained on prospective
students. Each inquiry to the College results in follow-up correspondence
and individualized follow-up by programmatic emphases. Prospective student
information sessions for undergraduate, masters, and certificate programs
of study are offered through Student Services throughout the academic year.
The Office of Student Services works collaboratively with the
University Career Center to provide professional development opportunities
for students.
D. Student Retention
Retention of talented students is the responsibility of all members
of the College family. Several retention activities are sponsored by the
Office of Student Services each year. Upon selection into the degree
programs, students are required to attend special orientations and are
apprised of the College requirements for continuation. Advisors are
regularly available to respond to student needs for assistance and as sources
of referral to other support units on campus. Finally, The Office
of Student Services staff are responsive to students experiencing extenuating
circumstances and assist students with the processes that foster continuation
in the nursing program.

E. Student Support
The Office of Student Services implements a variety of programs designed
to support students in their progress through the academic programs of
the College. Undergraduate and graduate student handbooks are published
annually and the student newsletter, "Carolina Nursing" is published by
Student Services twice a year. Staff serve as a resource (for selected
projects) to the Student Nurses Association, the African American Student
Nurses' Network, Alpha Xi Chapter of Sigma Theta Tau, and the Alumni Association.
The College of Nursing convocations are planned through Student Services.
Student Services staff disseminate financial aid information and monitor
the distribution of College generated resource information to students.
Staff provide financial aid information and applications to students, serve
as a liaison to the University Office of Student Financial Aid and Scholarships,
organize student related data for financial award decision making, and
manage disbursement from scholarship and traineeship funds.
F. Faculty Committee Support
Committee support from the Office of Student Services includes:
1) assisting with identification of appropriate student representatives
for faculty committees;
2) guiding students in preparing documents (requests, petitions, grievances)
in accordance with College and University guidelines for submission and
review by select faculty committees;
3) serving as student advocates in policy and procedure decisions when
indicated;
4) providing student related information to committees for use in decision
making;
5) providing staff support to the Student Affairs Committee such as
agenda preparation, record maintenance, minute preparation, and initiation
of follow-up action on committee decisions.
G. Classroom Assignments/Final Exam Schedule
Classrooms for regularly scheduled classes are arranged through the
Office of Student Services and are published in the Master Schedule
and on the WEB for the academic semester. When faculty elect to hold a
class meeting at other than regularly scheduled periods, access to classroom
space is acquired through the Office of Student Services. Access to conference
room space for class meetings is coordinated through the Office of the
Dean. Access to Television Studio 7 on the 4th floor (room 409) is coordinated
through Distance Education and Instructional Services via the Assistant
Dean for Student Services. Scheduling of dates, times, and rooms
for final exams is coordinated by Student Services, confirmed with the
Registrar’s Office, and then distributed to faculty.
