Exchange 2010: Instructions    

Configuring Entourage Web Services

If you have Office 2008 Entourage currently running on your Mac, you will need to install Entourage Web Services Edition to work with Exchange 2010. It can be downloaded from here: http://www.microsoft.com/mac/downloads . You will need to make sure your current Office 2008 is fully updated, and then install the Entourage Web Services Edition. You should be able to Import your current Identity. You will also need to change the Exchange server from "legacy.webmail.sc.edu" back to "webmail.sc.edu". Screen shots of this setup will be available soon.

Configuring Outlook Anywhere: Outlook 2007 (Formerly RPC/HTTPS)

These are the recommended instructions for those who wish to use the Outlook 2007 application on their desktop.

    • For the following instructions, we will use a fictitious person with the following parameters. You, of course, will substitute your specific information.

    1. On a profile where Outlook has never been used, the startup wizard should initialize by default after selecting the Microsoft Outlook icon.
    2. Select Next.
    3. If the wizard does not initialize by default, browse to Start\Control Panel\Mail\Show Profiles then create a new profile tab. and create a new profile.
    4. Select Yes and click Next to continue.

    5. Select manually configure server settings or additional server types.
    6. Click Next.
    7. Select Microsoft Exchange or compatible service.
    8. Click Next.
    9. Enter CAE145CARP01.DS.SC.EDU in the Microsoft Exchange Server field.
    10. Enter the USERNAME for the profile being setup in the User Name filed.
    11. Check "Use Cached Exchange Mode".
    12. Click the More Settings button. (ignore and close any error pop-ups until the connections screen appears)
    13. Click the Connection tab.
    14. Select Connect using my Local Area Network.
    15. Check Connect to my Exchange mailbox using HTTP.
    16. Click the Exchange Proxy Settings button.
    17. Enter webmail.sc.edu in the https:// field.
    18. Check Connect using SSL only.
    19. Check On fast networks, connect using HTTP first, then using TCP/IP.
    20. Check On slow networks, connect using HTTP first, then using TCP/IP.
    21. Select Basic Authentication for the proxy authentication setting.
    22. Select OK to close the Exchange Proxy Settings window.
    23. Select OK to close the Connection settings window.
    24. You may get a restart notice. If so, click OK to continue. If you do not get a notice then skip this step and go directly to step 25.
    25. Click Next.
    26. Click Finish.

Configuring Outlook 2007 & 2010 Secure IMAP

NOTE:  The Client machine must be fully updated Windows XP Sp2 or Vista and Outlook 2007.

  1. On a profile where Outlook has never been used, the startup wizard should initialize by default after selecting the Microsoft Outlook icon.
  2. Select Next.
  3.  If the wizard does not initialize by default, browse to Start\Control Panel\Mail\Show Profiles then create a new profile tab. and create a new profile.

  3. Enter the USER NAME for the profile being setup in the User Name filed.
  4. Enter the Email address for the account being configured.
  5. Select the select IMAP for the account type.
  6. Set the incoming mail server to imap.mail.sc.edu
  7. Set the outgoing mail server (SMTP) to asmtp.mail.sc.edu
  8. Uncheck remember password.
  9. Click More Settings.

  10. Under the Outgoing Server tab, select My outgoing server (SMTP) requires authentication and Use same settings as my incoming mail server.
  11. Under the Advanced tab,
    1. Set Incoming server (IMAP) to 993 and the type of encrypted connection to SSL.
    2. Set the Outgoing server (SMTP) to 2525 and the type of encrypted connection to TLS.

  12. Select OK to close the Connection settings window.
  13. Click Next and Finish.

Configuring Outlook 2011 for Mac

  1. Open Microsoft Outlook 2011, and select Preferences from the Outlook tab.

  3. Select Advanced, and enter the following information for the Address Book lookups.
  4. If you get the following popup, it is OK to select Allow.

Configuring Thunderbird IMAP

For the following instructions, we will use a fictitious person. Please substitute your own personal information when you configure Thunderbird on your computer.

  1. Open Thunderbird and select create new account

     
  2. Select Email Account and click Next

     
  3. Enter your name and e-mail address then click Next

     
  4. Select IMAP
  5. Enter imap.mail.sc.edu for the Incoming Server
  6. Enter asmtp.mail.sc.edu for the Outgoing Server and click Next.

     
  7. Enter your username in the Incoming User Name and Outgoing User Name fields and click Next.

     
  8. Enter a name for the account in the Account Name field and click Next then Finish

     
  9. On the menu bar go to Tools -> Account settings
  10. Select Outgoing Server (SMTP), select your outgoing asmtp server then click Edit.

     
  11. For the description enter USC SMTP server (or some other description to identify these settings to you later).
  12. Enter the following information for the following parameters:
    1. Server Name: asmtp.mail.sc.edu
    2. Port: 2525
    3. Check the box for Use name and password. This is required.
    4. For User Name enter your network user id. (e.g. NEDN)
    5. Select the radio button for TLS. This is required.


     
  13. Then click OK.
  14. On the Account Settings screen, select the Server Settings screen for the account you just created (i.e. nedn@mailbox.sc.edu).
  15. For Security Settings select SSL. This is required. The port number above should change to 993.
  16. For Server Settings select the options there as you like. Generally the defaults are adequate; however, you can read about the options for deleting messages in the section titled "Managing Deleted Messages" that comes later.
  17. For Local Directory the default is fine unless you know you want to store your Thunderbird profile some place else. If you do then make that selection. Do NOT click OK yet.



    Composition & Addressing
  18. Now select the Composition & Addressing screen. It is recommended to uncheck "Compose messages in HTML format", but not required. This is your option.
  19. Also it is recommended to select, "Automatically quote the original message when replying" and to change the option to be "start my reply above the quote"
  20. The settings for Offline & Disk Space, Return Receipts, and Security are at the discretion of the user. Generally, the default settings are adequate to get started.

     
  21. Click OK when done
  22. Then in the Folders column click Inbox for the e-mail settings you have configured (e.g. nedn@mailbox.sc.edu).
  23. It will then attempt to connect and prompt you for your password. Enter your password and click OK.
  24. For further assistance with Thunderbird on the menu bar go to Help -> Mozilla Thunderbird Help. You can also find additional help on the Internet through a web search engine such as google.com.

    Managing Deleted Messages
    By default, Thunderbird moves deleted messages to the trash folder instead of actually deleting them. This is so you can get them back if you delete something by mistake. However, these messages in the Trash folder still take up space in your mailbox, thus to really make them go away so you can reclaim that space, you must right click the Trash folder and then select Empty Trash.


    You can also change how deleted messages are handled. Instead of having them moved to the Trash folder you can choose two other settings, Mark it as deleted, or Remove it immediately.

    "Mark it as deleted" leaves the message where it is, but puts a line through it and a red "X" on it to mark it as deleted. It is now up to you to force the removal of these messages by right clicking the folder and selecting Compact this folder. You will have to do this for every folder that contains messages that are marked for deletion.

    "Remove it immediately" does just as the words imply. The message is removed and frees that space for new messages.

    You can select these various options for deleting messages from the menu bar by going to Tools -> Account Settings then choosing Server Settings. For the option "When I delete a message:" make your choice.

Forwarding Email in Outlook 2010

  1. Open Outlook 2010 and select Inbox.
  2. Click on Rules in the ribbon bar.
  3. Choose Create Rule from the drop down menu.
  4. Click the Advanced Options button
  5. Check sent to YOUR NAME. (where YOUR NAME is your first and last name)
  6. Click Next.
  7. Check forward it to people or public group under the Step 1 section.
  8. Click the people or public group link under the Step 2 section (It is blue and underlined).
  9. Type the forwarding email address into the To -> field
  10. Click OK.
  11. Click Next.
  12. Click Next.
  13. Type a name for the rule into Step 1.
  14. Click Turn on this rule (this may already be checked by default).
  15. Click Finish.

Forwarding Email in Outlook Web Access

  1. Log into Outlook Web Access.
  2. Click on Options.
  3. Choose Create an Inbox Rule from the drop down menu.
  4. Click on New.
  5. Choose [Apply to all messages] from the *When the message arrives, and:" drop down menu.
  6. Select Forward, redirect, or send from the "Do the following:" drop down menu.
  7. Select Forward the message to from the sub drop down menu.
  8. Type the forwarding email address into the To -> field.
  9. Click OK.
  10. Click Save.
  11. Click Yes.
  12. If you see the above warning then click Yes. If not then skip this step.
  13. Click Mail (in the upper lefthand corner) to return to your inbox.

Permanently Deleting Mail from Outlook Web Access Mailboxes

  1. When you delete a message, it will go to Deleted Items and stay in there for seven (7) days.
  2. After seven days in Deleted Items, the message will then get moved to Deleted Items Retention for thirty (30) days.
  3. After thirty days in Deleted Items Retention, the message will be permanently deleted and cannot be recovered.
  4. Messages in Deleted Items and Deleted Items Retention do count against your mail box size quota.
  5. If you are going through these steps because you cannot send an e-mail, please wait a few minutes after finishing these steps before trying to send your message.

Follow these steps when you can no longer Send or Receive Email

  1. Open Outlook 2007 and select Inbox.
  2. Delete unnecessary Emails from Inbox
    • You can delete either an individual message or multiple messages.
    • To delete one message: Select the message to be deleted and click X.
    • To delete multiple messages:
      * Select the top message.
      * Hold down the shift key and select the last message.
      * Use the Ctrl key instead of the Shift key to select multiple messages not ordered together
      * All of the messages to be deleted will now be highlighted
      * Click on X (the deleted messages will be moved to the Deleted Items folder)
  3. Select Deleted Items folder.
  4. Delete Messages from Deleted Items Folder
    • You can delete either an individual message or multiple messages.
    • To delete one message: Select the message to be deleted and click X.
    • To delete multiple messages:
      * Select the top message.
      * Hold down the shift key and select the last message.

  4. Type your subject into the Subject field.
  5. Set the correct start time and end time.

  5. Select Check messages when they arrive.
  6. Click Next.

  8. Click the specific words link in the Step 2 section (it is in blue text and underlined).
  9. Type spamscore into the Specify words or phrases to search for in the subject or body field.
  10. Click Add.
  11. Click OK.
  12. Click Next.
  13. Check move it to the specified folder under the Step 1 section.
  14. Click the specified link in the Step 2 section (it is in blue text and underlined).
  15. Select the Junk E-mail folder.
  16. Click OK.

  19. Type a name for the rule in the Step 1 field.
  20. Check Turn on this rule if it is not already checked.
  21. Click Finish.
