I. POLICY
All copyrighted computer software resident on University-owned
computers must be properly licensed or have written permission for
its use or distribution.
II. PROCEDURE
A. Each administrative unit will maintain on file a listing of
copyrighted computer software that resides on each University-owned
computer within their unit. All copyrighted computer software for
each computer within the administrative unit must also have on file
written documentation that proper licenses or written permissions for
use of the computer software have been obtained.
Individuals may purchase business-related copyrighted computer software
to load on University-owned computers, so long as a written copy of
purchased license for the computer software is maintained in the
administrative unit’s files.
Copies of copyrighted computer software that has been given to the
University for experimental or research purposes may be loaded on
University-owned computers, so long as a written permission for use
(e.g., correspondence, a hardcopy of an e-mail) is maintained in the
administrative files.
Copies of business-related copyrighted or non-copyrighted computer
software that is distributed free (sometimes called freeware may be
loaded on University-owned computers, so long as it is verifiable that
the software may be used without charge.
B. Administrative unit supervisors will, on at least an annual basis,
inventory the computer software on each University-owned computer within
their unit to ensure that the procedure delineated in II.A above is
up-to-date;
Student computer labs should have a notice prominently posted that
states: Please do not load software programs on these computers.
University-owned computers in student computer labs should be inventoried
at least monthly for compliance with the procedure in II.A above by the
supervisor of the student computer laboratory.
C. Copyrighted computer software found on University-owned computers
that is not in compliance with procedure II.A above must be removed from
the computer unless a proper license for the computer software is
purchased or produced.
