Monographic Copy Cataloging Workflow

DLC Records:

  1. Pull books from shelf, in order.
  2. Search in NOTIS for appropriate record.
  3. Write OCLC number on slip of paper for updating.
  4. Verify and edit record. (Accept call number and subject headings.)
  5. Do name and series authority work, as appropriate.
  6. Write call number on title page.
  7. If paperback, mark title page.
  8. Code copy holdings record and check for errors (location code, call number, etc.)
  9. Create mhld, as needed.
  10. Create item record(s) and barcode, if hardback.
  11. Put books on truck to be updated in OCLC.


Member-Input/UKM/NLC Monographs:

  1. Pull book from shelf, in order.
  2. Search in NOTIS for appropriate record.
  3. Write OCLC number on slip of paper for updating.
  4. Verify and edit record.
    • Check call number against online shelflist.
    • UKM/NLC records: Verify all name headings.
      Check for LC subject headings, if needed.
  5. Do other name and series authority work, as appropriate.
  6. Write call number on title page.
  7. If paperback, mark title page.
  8. Code copy holdings record and check for errors (location code, call number, etc.)
  9. Create mhld, as needed.
  10. Create item record(s) and barcode, if hardback.
  11. Put books on truck to be updated in OCLC.


Brief Monographic Records:

  1. Batch items.
  2. Search OCLC for usable record and follow export and overlay procedures
  3. Catalog according to type of record exported.


Incomplete Monographic Records

Record does not contain a call number or LC subject headings when needed, or no record found)

  1. Flag with date searched.
  2. Make printout of any record that was found.
  3. Place item on appropriate shelf, by month (to left of general faculty backlog).
