Guidelines for Using Space at School of Law

  1. Due to limited availability, use of space in the School of Law is open to USC departments, and to organizations focused on law or policy. The School of Law will not be able to host private meetings.
  2. USC departments must submit space requests through 25Live. If you are unfamiliar with 25Live or need tips on its usage, contact Roseanne Shaw (803-777-2451). Partners will receive an email notification through 25Live regarding their space requests.
  3. All requestors must submit a Space Reservation Request Form to Heidi Tolles.
  4. Reservations will not be accepted for requests more than four (4) months in advance; nor can the School of Law accommodate requests for space during the weekend (except under special circumstances), University Holidays or Final Exam weeks. Organizations outside of the University need to have their requests in no later than one (1) month in advance of the event date to accommodate the lease agreement process.
  5. Reservation times should include all hours required for set-up and clean-up.
  6. Hallways, the Lobby, and the Courtyard are not available for lease.
  7. Space is rented “as is”. If additional tables or set-up is necessary, such requests must be explicitly stated in the space reservation request form so applicable fees can be assessed. Requests made on the day of the event may not be accommodated due to limited staffing (if accommodated, late fees of 25% will be assessed). The School of Law does not provide the following event services:
    • Parking services
    • Signage or print materials
    • Advertising and marketing materials
    • Menu selection services
  8. Rentals include the use of the technology in the room. Instructional support and on-site services are not available unless pre-arranged at the time of your rental agreement. An additional fee will be assessed for on-site IT support.
  9. All rooms must be returned in the same condition they were found. Partner organizations will be responsible for any damage to the space.
  10. No food or drink, except for bottled water, is allowed in the Karen J. Williams Courtroom.
  11. Portable signage is allowed but not provided. Signage may not be affixed to walls or doors unless approved by the event department.
  12. The University’s facilities department issues fees post-event for programs that take place after hours or require additional support beyond routine maintenance. Facilities will charge USC departments directly for Custodial Services. Outside organizations will be invoiced post-event, if necessary. We do not have an idea of what these fees will be and do not have anything to do with them. The law school in no way endorses this but has been asked to pass this information along.   13. An employee (faculty or staff) of the University must be on-site at all times during your event. USC departments are expected to provide their own staff, including for programs led by student organizations, to serve as the official representative and take responsibility should any issues arise. This employee must be SAPE trained for any event serving alcohol. An extended hours access fee will be assessed for non-USC organizations looking for access outside of business hours (M–F: 8:30 am–5:00 pm).
  14. Whenever alcoholic beverages are being served, a trained University employee must be present and the event must be registered with the University Student Affairs Office in pursuant with University policy STAF 3.02. USC Partners are responsible to obtaining SAPE approval for their event. All alcoholic beverages must be served by a licensed bartender.
  15. The University’s food service provider, Horseshoe Catering, must be used if food and beverages, including alcohol, will be served in the space. The Partner must work directly with Horseshoe Catering for all event services and all associated agreements and charges are between the Partner and Horseshoe Catering. Horseshoe Catering can be contacted at 803-777-7919.
  16. USC is a tobacco-free campus. Smoking, including the use of e-cigarettes, is prohibited anywhere on the School of Law grounds.
  17. All Partners are expected to adhere to all policies of the University of South Carolina, The School of Law, and in accordance to the Carolina Creed regarding attendee conduct and proper use of facilities.
  18. The University and University groups are prohibited from displaying any photos or videos of the Chihuly chandelier (in the lobby) on any websites, social media platforms, or printed communications; in accordance with contract terms with the Chihuly Company.
