Certification Process

Athlete certification forms are completed each semester (Fall, Spring, Summer) to determine student athlete eligibility. Students must meet “progress toward degree” (PTD) requirements to maintain eligibility for competition.

Athletic Certification Workflow

  1. DataWarehouse report pulled after “Last day to change/drop a course without a grade of ‘W’ recorded” for full semester. (Approximately 1 week after semester begins)
    1. Full list of athletic certifications pulled for reference
    2. Certification forms are divided between Colleges to prepare for distribution
  2. Athletic Certification PDF forms are then prepared in Adobe
    1. Forms are turned into fillable documents
    2. Reference APR grid for “Total Hours Earned Toward Degree Excluding Current Semester”; hours placed on certification form
  3. Forms are sent to respective certification officials via email with instructions and cover letter attached
  4. Two-week deadline requested for completion and return of certification forms
  5. Once completed forms are received from certification officials, they are (re)arranged in alphabetical order by college AND by team for review
  6. Sorted certification forms are added to shared drive for coordinated review between Athletics Compliance and Registrar Compliance:
    1. Athletics Compliance provides an Excel Spreadsheet of certifications which need additional clarification
    2. Registrar does initial review of files listed for clarification to determine best course of action.  Files with minor clerical errors are updated by Registrar and placed into “Amended” folder in shared drive
    3. Certification forms with additional questions are sent back to the College’s certifying official for follow-up
    4. Updated certification forms are returned by certification officials, reviewed, and placed into “Amended” folder
  7. Updates are made to APR grid as necessary
